POSITION
Champlain College Saint-Lambert is seeking the services of an ADMINISTRATIVE SUPPORT AGENT, CLASS I for a regular full-time position in the Registrar and Academic Advising department.

FUNCTIONS
Reporting to the Manager, Registrar and Academic Advising, the incumbent will perform a set of administrative functions of a relatively complex nature according to established methods and procedures within the registrar’s office and clerical functions related to activities of the department.

MAIN RESPONSIBILITIES
1. Greet and respond to questions from prospective and current students (in person, by phone, or by email), providing relevant information about the college’s programs and services. Also, greet visitors, schedule appointments, and process tuition fee payments.
2. Assist prospective students with completing their admission applications, providing personalized support to ensure a complete and compliant submission. Help students access and navigate their Omnivox platform, guiding them through key features for autonomous and effective use.
3. Gather and research necessary information to prepare documents, reports, letters, and lists related to the administration of student files and their academic journey. Ensure the archiving of official ministry diplomas, file documents, and update student ID cards. Assist with the mailing of necessary documents.
4. Identify individual student needs and direct them to the appropriate services within the Registrar’s Office or the college, including academic support, counselling services, and other relevant resources.
5. Assist in the planning, coordinating, and delivery of student-facing events and activities, contributing to a welcoming and engaging campus experience. Provide support for departmental initiatives, outreach activities, recruitment efforts, and special events as required. Collaborate with internal and external stakeholders to facilitate visits, information sessions, and other activities that support student success and institutional objectives. 
6. Maintains records and liaises with faculty members and academic committees to support timely and accurate decision-making with end-of-semester grade review and academic appeal processes. 
7. Verify student schedules and identify potential issues. Collect and update information regarding university visits, and distribute participation forms to students and departments.
8. Keep a record of office supply usage and ensure supplies are available when needed.
9. Ensure the compliance of student records, complete various administrative forms according to Registrar standards, and keep them up to date.
10. Perform other administrative tasks related to the Registrar's Office, as required.

REQUIREMENTS
Education
Must possess a diploma of vocational studies (DEP) in an appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.

Experience
Must possess at least one (1) year of pertinent experience.

Other requirements
Must be able to communicate proficiently in both English and French (verbal and written).
Must be proficient with Microsoft Word and Excel.
Must demonstrate strong customer service skills, attention to detail and the ability to work within a team environment as well as independently.

Required Tests: Candidates will be required to submit to language tests as well as Word and Excel tests.
