Job Title: Administration Technician

POSITION
Champlain College Saint-Lambert is seeking the services of an Administration Technician to support the operations of the Learning Centre (Learning Commons), with a focus on facilitating the delivery of academic support services and promoting student success. This position is integral to fostering student success.This is a regular full-time position (35 hours per week).

FUNCTIONS
Reporting to the Dean of Curriculum & Faculty Development, the incumbent will:

  • Provide administrative and logistical support for all services operating within the Learning Centre, including the Centre de ressources en français langue seconde, the English Writing Centre and Épreuve uniforme de français;
  • Use and support the Clara system, particularly its tutoring and payroll modules, tutoring services, appointments, records;
  • Maintain a welcoming, inclusive, and professional environment for all users of the Learning Centre;
  • Contribute to the ongoing improvement of Learning Centre operations and academic support services.


MAIN RESPONSIBILITIES
1. Learning Centre Operations

  • Support the day-to-day operations of the Learning Centre and facilitate student access to academic resources and support services offered in person and virtually;
  • Maintain accurate and detailed records of Learning Centre activities, including tutoring sessions, workshop participation, appointments, and service-usage statistics, evaluation, and operational planning;
  • Monitor and replenish supplies and materials used by peer tutors;
  • Maintain the Learning Centre calendar (tutoring schedules, workshop schedules, appointments, resource bookings);
  • Respond to general inquiries from students, faculty, tutors, and staff, and direct individuals to the appropriate service or resource;

2. Tutoring Program Operations

  • Organize the administrative and logistical aspects of tutor recruitment, onboarding, orientation, scheduling, and training activities;
  • Maintain tutor files, availability, assignments, attendance records, and other required documentation;
  • Arrange tutoring sessions and match tutor availability with student needs;
  • Prepare and enter tutor payroll information using the Clara payroll module;
  • Collect and compile student feedback and other information used to assess the delivery and quality of tutoring services;
  • Work collaboratively with faculty and departments to identify areas in which additional tutoring support may be required;

3. Student Support and Academic Success

  • Provide students with information about Learning Center services (tutoring, workshops, academic resources);
  • Assist students in navigating tutoring appointments, registration processes, and relevant technological platforms;
  • Collaborate with the Student Access Centre and other College services to help ensure that Learning Centre services are inclusive and accessible to students with disabilities or specific learning needs;

4. Administrative and Technical Support

  • Use and maintain technological tools and platforms required for tutoring and student support (Clara tutoring and payroll modules, scheduling applications, virtual meeting platforms, learning management systems);
  • Apply appropriate privacy and confidentiality practices when accessing student and employee information;
  • Prepare reports, maintain accurate electronic and paper records in accordance with College procedures and privacy requirements;
  • Participate in meetings and training related to Learning Centre operations;
  • Perform other administrative and technical duties consistent with the classification.


REQUIREMENTS
Education
Diploma of Collegial Studies (DEC) in administration with an appropriate specialty, or a diploma or attestation of studies recognized as equivalent by the competent authority.

Skills and Qualifications

  • Proficiency in both English and French, oral and written;
  • Strong organizational skills and the ability to keep schedules, appointments, records, and priorities well organized.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, Teams). Ability to adapt to evolving digital tools and platforms, familiarity with the Clara system would be an asset;
  • Excellent interpersonal and communication skills working directly with students, faculty, management and staff;
  • Ability to provide courteous, patient, and professional service to individuals with varied needs and levels of technological experience;
  • Ability to exercise sound judgment, discretion, confidentiality and professionalism;
  • Ability to work independently while contributing effectively to a collaborative service environment;
  • Experience in an educational, tutoring, student-services, or academic-support environment would be considered an asset.


REQUIRED TESTS
Candidates will be required to complete English- and French-language proficiency tests, as well as Word and Excel tests.
