In the role of Project Assistant, the selected candidate will play a key role in the execution of automation projects. Your main responsibilities will include providing administrative and operational support to the Project Manager, including coordinating essential tasks related to project delivery. More precisely, you will have to :
- Assist the Project Manager in managing client relationships and communications ;
- Contribute to project planning, including participation in the administrative process for bids and orders ;
- Prepare necessary reports and monitor dashboard progress ;
- Perform approval follow-ups ;
- Ensure rigorous and efficient administrative tracking of ongoing projects ;
- Help identify and resolve potential issues ;
- Support collections to resolve invoice-related problems and disputes ;
- Review project files prior to the billing process ;
- Handle project-related invoicing ;
- Verify order terms and conditions with the client ;
- Collaborate with financial controllers to monitor accounts receivable ;
- Participate in customer satisfaction follow-ups to maintain strong business relationships with new clients ;
- Communicate with key clients regarding updated rates at the beginning of the year ;
- Coordinate the management and scheduling of travel and resource rentals ;
- Perform any other related tasks.
REQUIREMENTS
- Hold a diploma in business management, office management, administration, or any other equivalent training ;
- 6 to 8 years of experience as an administrative assistant, office clerk, billing coordinator, or any equivalent experience ;
- Proficient in using Microsoft Office Suite ;
- Comfortable using Prextra software (an asset) ;
- Experience in project management (an asset) ;
- Be fluent in French and English, both spoken and written, to communicate effectively with our partners outside of Quebec ;
