The Administrative Assistant – Quality Control is responsible for classifying, analyzing, and managing data collected from field projects. This person processes photos, creates PDF reports, ensures data archiving on the cloud, and verifies the compliance and quality of the transmitted information. The role requires excellent organizational skills, attention to detail, and strong proficiency in both French and English, written and spoken.

Work Schedule

  • Daytime schedule, Monday to Friday (flexible hours);
  • 40 hours per week.

Work Location

  • Trois-Rivières, Quebec.

Responsibilities

  • Classify and organize received field reports (photos, technical files, various documents);
  • Process, sort, and format photos and other visual content to be included in reports;
  • Manage data and documents through the organization’s cloud platforms (e.g., Google Drive, SharePoint, etc.);
  • Create and finalize professionally formatted PDF reports according to established templates;
  • Verify the compliance and quality of data before distribution to internal or external clients;
  • Collaborate with project managers, technicians, and field teams to ensure proper documentation follow-up;
  • Participate in the continuous improvement of reporting and quality control processes;
  • Provide occasional support to project teams for document preparation;
  • Contribute to maintaining cohesion and collaboration across all departments of the organization;
  • Promote, encourage, and contribute to prevention efforts for a healthy, safe, respectful, and continuously improving work environment;
  • Perform any other reasonable and related tasks normally carried out by someone in this position, in accordance with the skills, abilities, and responsibilities of an Administrative Assistant – Quality Control.

Hiring Requirements

  • College diploma (DEC) or vocational diploma (DEP) in a relevant field (office administration, business administration, graphic design, civil engineering, etc.);
  • Excellent command of office software (Microsoft Office, Adobe Acrobat, etc.);
  • Comfortable using cloud storage platforms (Google Drive, OneDrive, etc.);
  • Strong proficiency in both French and English, spoken and written;
  • Strong organizational skills, attention to detail, and autonomy;
  • Ability to manage multiple files simultaneously under tight deadlines.
