Canada Games: Québec, 2027 

As the largest amateur multi-sport competition in the country, the Canada Games bring together over 3,000 high calibre athletes and coaches in more than twenty disciplines. Alternating between summer and winter, every two years, they showcase the immense talent and perseverance of our champions. The winter edition of the Canada Games will take place in Québec City from February 27  to March 14, 2027.

Building the Volunteer Team

The Host Society of the 2027 Canada Games is looking for bold and passionate individuals to help create an unforgettable event. Your mission? Join a dedicated team committed to delivering extraordinary moments for athletes and visitors alike, while building a lasting legacy of excellence and innovation for our community. As a Volunteer Site Director, you'll be at the heart of the action! You'll work closely with the site team and all planning committees needed to turn your venue into a perfectly orchestrated space where the energy of the Games comes to life.

Your Mission

Under the supervision of the Director of Sports and Sites, you will lead your team of volunteer delegates and work hand in hand with the Host Society’s staff. During the Games, you will be THE go-to person for everything related to your site—serving as the key liaison with site owners while ensuring smooth collaboration with sports managers and other experts involved.

Your goal? Meticulous planning before the event, followed by seamless execution during the Games to ensure everything runs like clockwork. With a team of 15 to 25 volunteers to coordinate, you’ll be at the center of the action, ensuring effective communication between all stakeholders to create an unforgettable experience for both athletes and spectators.

And of course, should an unexpected challenge arise—no worries! Policies, procedures, and guidelines are in place to support you, but it’s your organization skills, adaptability, and problem-solving mindset that will truly make the difference. In short, this is a key role in the Games, where your leadership and enthusiasm will set the pace for an electrifying competition!

Your Commitment

Phase I – Initial Planning (2 years – 1 year out)

  • Plan and coordinate the needs of each functional area in a given location.
  • Identify requirements for venue fit-out.
  • Ongoing development of site plans.
  • Identify volunteer needs.
  • Assist in recruiting volunteers for various positions.
  • Participate in the implementation and operation of the entire site team (15 to 25 people, the service delegates, who represent the various Games Services Committee departments (e.g. food, transportation, security, medical, etc.)).
  • Identify and provide solutions to issues that arise before and during the Games at the venue level, in accordance with Games policies, procedures and standards.
 

Phase II – Integrated Planning (1 year Out)

  • Finalize emergency plans.
  • Orient and train venue specific volunteers.
  • Ongoing refinement of operating plans.
  • Adapt venue manual and policies and procedures (IPP).
  • Venue walk through to ensure universal access.
  • Identify and provide solutions to issues that arise before and during the Games at the venue level, in accordance with Games policies, procedures and standards.
 

Phase III – Games implementation and operations (Games period +/- a few days before and after)

  • On-site coordinator.
  • Ensure implementation of IPPs for environmental services.
  • Ensure that safety checks are carried out on a daily basis.
  • Organize daily meetings before the start of the day and at the end of the day to deal with last-minute needs.
  • Close liaison with Venue Fit-Out & Decommissioning team regarding last minute requirements.
  • Overall management of spectator seating, lost and found, accreditation, and volunteer groups.
  • Integrate and train volunteers assigned to the site.
  • Identify and provide solutions to issues that arise before and during the Games at the venue level, in accordance with Games policies, procedures and standards.

Prerequisites:

  • Proven management expertise.
  • Experience or knowledge of sports is an asset, but not a requirement.

Time Commitment:

 
  • Pre-Games:  
    • In the two years leading up to the Games, a number of action planning meetings are held with the venue team and the venue owner (if the venue owner or a venue employee does not hold the position of Venue Director).  The Venue team, under the direction of the venue manager, carries out the planning process independently within the guidelines established by the Director, Sports and Venues. Availability for monthly Venue Team meetings is required from one year before the start of the Games, with increasing frequency as the Games approach.
    • Type of meetings planned : 
      • Meetings with the sports rep;
      • Meetings with venue owner;
      • Meetings with the entire Venue Team;
      • Committee meetings by functional area
      • Meeting with technical representatives of sports federations (T2 technical conference);
      • Meetings with mission chief (M1-M2).
    • Spring 2025: average of one or two meetings per month;
    • Summer 2025 - Winter 2026: average of two to three meetings per month.
    • Spring 2026 - Summer 2026: average of one meeting per week;
    • Autumn 2026 - Winter 2027: average of one or two meetings per week.
 
  • During Games:  
    • For the duration of the Games, the venue will typically operate 14-16 hours per day for the duration of the sports competition schedule.  Availability during the Games is required, including 1-2 days prior to the Games for venue set-up.
 
  • Post-Games:  
    • Availability 1 to 3 days after the end of the competitions to coordinate and complete the decommissioning of the venue.  The final post-event report, conforming to the Canada Games Council format, must be drawn up and submitted within one month of the end of the Games.
