Your future role
KRB is looking for an Internal Services Coordinator to join our Operations team. The person will be in charge of building and office management and overseeing KRIB's internal services and ensuring the smooth running of our offices.
Your next challenges
Building and office management
- Coordinate third-party maintenance and repairs as required;
- Identify and negotiate with suppliers in order to obtain the best prices and conditions for the products and services required;
- Manage the physical environment of the office (including common areas, conference areas and employee areas);
- Plans and coordinates projects related to office fit-up and equipment.
- Ensure internal communication with Cabinet employees on matters related to the operation of the offices;
Internal services management
- Supervise reception, including planning receptionist replacements.
- Maintain appropriate quantities of supplies and equipment.
- Maintain an up-to-date inventory list and order schedules;
- Arrange food deliveries and catering services for meetings, conferences and special events;
- Develops and implements procedures and policies for office services (such as mail and courier services, office equipment, supplies and maintenance of facilities) that meet the needs of the organization;
- Coordinate the archiving process of client files;
- Provide event coordination support for employees and clients;Coordinate the Cabinet's gift campaigns;
- Support the Human Resources team in the entry and exit process as needed, including office layout, collection of supplies and equipment;
- Perform other duties as may be reasonably required from time to time by senior management.
Who are we looking for?
- Minimum of 3 years of experience in a similar role in a corporate environment;
- Bilingual in French and English, both written and spoken (essential requirement);
- Highly organized and able to multitask according to priority;
- Resourceful, resilient, courteous, and proactive;Excellent interpersonal skills and attention to detail;Strong customer service orientation and professionalism;
- Excellent IT skills, including a high degree of proficiency in Office 365.
