We are seeking a Warranty Claims Clerk responsible for preparing, entering, and submitting manufacturer warranty claims. The successful candidate will manage all warranty files, follow up on payments, ensure compliance with manufacturer requirements, and work closely with various departments to ensure efficient and accurate handling of all claims.
Main Responsibilities:
- Process warranty claims for each franchise or manufacturer
- Handle all warranty-related entries to ensure proper documentation
- Verify the criteria required by the manufacturer or distributor
- Reconcile all warranty receivables and payments according to the appropriate schedule
- Record credits in the appropriate software
- Resubmit rejected claims as quickly as possible or obtain authorization to write them off
- Follow up on payments for all outstanding claims
- Track warranty parts by labeling them with the repair order number, replacement date, and disposal date
- Coordinate shipping of parts to the manufacturer, distributor, or scrap
- File and maintain all after-sales documents according to management requirements
- Stay informed about all manufacturer recalls and bulletins
- Collaborate with the body shop on warranty-related claims when needed
- Perform cashier or receptionist duties as required
- Complete any office tasks assigned by the immediate supervisor
- Experience as a warranty claims clerk or in a related field.
- Strong knowledge of the brand and its features.
- Excellent communication and interpersonal skills.
- Ability to work effectively in a team-oriented environment.
