The Westcliff Group of Companies is one of Canada’s largest privately owned, fully integrated, commercial real estate development, management and ownership group.   We are presently looking to fill the position of Senior Property Administrator, based out of our downtown Toronto location.




The opportunity

Reporting to the General Manager, you will act as a resource person and take on various administrative tasks to ensure the day-to-day running of the property.

To succeed in this position, the candidate must be meticulous, results-oriented and demonstrate the ability to manage multiple tasks and set priorities.
The Senior Property Administrator’s responsibilities will include but are not limited to:
Accounts Receivable Management:
  • Manage tenant accounts receivable, including preparation and processing of daily deposits.
  • Deposit rental payments and follow up with Tenants on any outstanding amounts
  • Process payables and prepare monthly payables reports
  • Follow-up with tenants to collect rent payments.
  • Support the General Manager by providing information, statements, and other documents to accelerate the collection process (escalation) when required.
  • Prepare tenant default notices.
  • Prepare monthly tenant accounts receivable reports, explaining with specific comments the balances due and steps taken.
  • Work with accounting department to prepare correspondence related to year-end reconciliation and new rent schedules.
  • Liaise with tenants to answer any administrative and/or accounting questions relating to the lease.
Schedule and service contract management:
  • Liaise with Tenants, suppliers, contractors, etc.; develop effective two-way communication with all parties
  • Update and track the list of critical dates for all leases such as insurance renewals, lease expiry, renewal options and free rental periods.
  • Follow-up on service contracts (expiry dates, renewals, obtaining relevant documentation).
  • Manage priorities; deal with problems quickly, proactively and follow projects through to completion.
Management reporting and administrative tasks:
  • Support the General Manager in the production of monthly and quarterly reports and in the preparation of the annual operating budget.
  • Prepare monthly rent, storage, and parking reports
  • Prepare monthly receivables report and follow up with Tenants regarding any outstanding matters
  • Prepare and maintain emergency contact form, Tenant listings, vendor listings
  • Provide administrative and accounting support to the office

Required skills:
  • Experience in accounts receivable and accounts payable management.

  • Proficiency in office and accounting software.
  • Thorough understanding of real estate management terminology, principles and procedures.

  • Excellent interpersonal skills and ability to build relationships with internal and external stakeholders.
  • Proven ability to handle confidential information with discretion, adapt to diverse demands and demonstrate a high level of customer service and responsiveness.
  • Ability to execute and manage multiple tasks seamlessly and to meet deadlines efficiently.

Qualifications:
- College degree in business, accounting or equivalent.
- 7 years’ experience in a similar position related to Real Estate and commercial leases.
- Proficiency with Word, Excel, Outlook and PowerPoint.
- Familiarity with YARDI preferred.
- Excellent written and verbal communication skills
