The impact of your contribution
Reporting to the Coordinator of Administrative Services, the incumbent will carry out a variety of technical tasks related to the management of financial resources.
What you'll conquer every day
Finance
- Process transactions related to accounts receivable invoicing
- Review and process supplier invoices
- Perform accounting entries and budget transfer requests
- Manage all transactions related to bookstore sales (needs assessment, ordering, receiving, inventory management, returns)
- Assist in the bookstore sales process to students
- Support departments in identifying purchasing needs
- Validate and enter purchase requests in accordance with internal policies
- Monitor and prepare monthly expense reports for managers
- Analyze balance sheet accounts
- Perform periodic financial follow-ups on professional development fees
- Manage financial system access and generate reports for department managers
- Validate and enter the receiving of purchase orders in the accounting system
- Provide administrative and technical support to staff
- Assist the department managers in applying budgetary and financial controls and ensuring compliance with policies and procedures
- Perform other related duties as required
Reception
- Manage phone calls and the general email inbox
- Welcome and direct students and visitors
- Handle incoming and outgoing mail (receipt, distribution, dispatch)
- Manage photocopying and printing services for staff
- Coordinate room booking requests
- Administer student printing cards (activation and reloading)
- Monitor and manage office supplies and access keys
- Support parking access (entry and exit)
- Manage the student job posting platform
- Perform general administrative and clerical tasks (documents, texts, graphics)
- Perform other related duties as required
What makes you the one
- Must possess a diploma of College studies (DEC) in Administration with appropriate specialty or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority
- Excellent communication skills in English and in French, both oral and written. Candidates will be required to submit to language tests in English and in French.
- Ability to use various software such as the Microsoft Office Suite. Candidates will be required to submit to tests in Excel and Word.
