Role Summary

Reporting to the Vice President, Corporate Governance and Customer Excellence, you will be responsible for preparing service contract proposals and maintaining the database in accordance with applicable regulations.

Working closely with the sales and service teams, the Service Contracts Coordinator creates, reviews, records, and processes service contract proposals and amendments in accordance with established methods and guidelines. Follow-ups must be made to ensure a proposal is signed 30 days before the current contract expires.

The coordinator ensures that all documents—including proposed and signed contracts, purchase orders, calculators, and other relevant files—are included in the client file.
They are responsible for setting up billing for the duration of the contract. The master file must be updated in real time.

Key Responsibilities
  • Apply all procedures to draft service contract proposals according to company standards and follow up on pending proposals.
  • Ensure service contract renewals are completed before the end of the term.
  • Create, amend, manage, and merge service contracts in the ERP system.
  • Set up billing for the entire contract term, calculating and applying any financial adjustments according to the contract’s terms and conditions.
  • Validate, create, and update all relevant database information (additions/removals).
  • Prepare and maintain client files: contract history, calculators, inventory lists, contractual documents, client contacts, renewal and supplier statuses, and other relevant documents.
  • Participate in managing and maintaining the license audit and compliance program.
  • Manage the contracts team email inbox (quickly review incoming requests).
  • Generate, prepare, and distribute various Excel reports, such as contract renewal tracking (master file).
  • Continuously develop knowledge and understanding of equipment configuration, division solutions, pricing, and billing methods.
  • Support the customer service and service teams for all service contract-related requests (service calls, contractual obligations, inventory updates, etc.).
  • Participate in updating or creating processes and ensure proper documentation, mastering and applying new operational procedures.
Qualifications & Experience
  • Post-secondary diploma in business administration or other relevant field.
  • Minimum of three (3) years of relevant experience in service contract management.
  • Relevant experience in customer support.
  • Excellent command of French and English, both written and spoken.
  • Advanced skills with MS Office (primarily Excel).
  • Knowledge of ERP-type software is an asset.
