WHAT WE ARE LOOKING FOR:
We are currently seeking an HR Operations & HRIS Specialist that will be responsible for ensuring the efficient administration of the Company's Human Resources Information System (HRIS), employee benefits programs, and HR operational processes. This role ensures the accuracy and integrity of employee data, leads HRIS enhancements and upgrades, administers employee benefits, manages employee access cards, and supports continuous improvement of HR processes.
The successful candidate is highly organized, analytical, service-oriented, and enjoys working with systems, data, and process improvements.

WHAT YOU WILL DO:
HRIS Administration (35%)
  • Serve as the primary administrator for the HRIS (UKG).
  • Maintain accurate employee records throughout the employee lifecycle.
  • Configure and maintain HRIS workflows, forms, security roles, and system settings.
  • Coordinate HRIS upgrades, testing, and implementation of new features.
  • Identify opportunities to automate and improve HR processes.
  • Troubleshoot HRIS issues and liaise with vendors and IT.
  • Develop user guides and provide training to managers and employees.
  • Generate HR reports and dashboards for leadership.
Employee Data Management (20%)
  • Ensure the accuracy, completeness, and integrity of employee data.
  • Conduct regular audits of employee records.
  • Maintain organizational structures, job information, reporting relationships, and position data.
  • Support payroll by ensuring accurate HR information.
  • Maintain compliance with privacy legislation and Company policies.
Benefits Administration (20%)
  • Administer employee benefit plans, including enrollments, changes, and terminations.
  • Act as the primary liaison with benefits providers.
  • Assist employees with benefits-related inquiries.
  • Ensure timely processing of life event changes.
  • Audit benefits data and reconcile discrepancies.
  • Support annual benefit renewals and open enrollment activities.
HR Operations (15%)
  • Maintain employee files and HR documentation.
  • Coordinate onboarding and offboarding administrative activities.
  • Support policy updates and HR documentation.
  • Prepare HR metrics and reports.
  • Assist with compensation, organizational changes, and annual HR initiatives.
Employee Access & Security Administration (10%)
  • Administer employee access cards and building access permissions.
  • Coordinate employee access requests with IT and Facilities.
  • Ensure access is granted, modified, and removed in a timely manner.
  • Maintain accurate access records and perform periodic audits.

SKILLS AND KNOWLEDGE YOU SHOULD POSSESS:
  • 3–5 years of experience in Human Resources Operations and HRIS Administration.
  • Experience administering an HRIS (UKG highly preferred).
  • Experience with employee benefits administration.
  • Experience working with confidential employee information.
  • Experience supporting HR projects and system implementations.
  • Excellent Excel and reporting skills.
  • High attention to detail and data accuracy.
  • Strong analytical and problem-solving abilities.
  • Bilingual (English/French) as communications outside Quebec are required.
